Managing Allocation Rounds in the Allocation Engine

Overview

Many Central Registration Schemes (CRS) and independent kindergartens manage allocations and offers in rounds. Each round typically has:

  • An application close date (cut-off for inclusion in the round)
  • An offer end date (deadline for offer responses)


        Example allocation schedule:

  • Round 1
    • Applications received by 30 April will be considered (Round 1 Application Close Date)
    • Offers made in the week commencing 7 May
    • Offer responses due by 21 May (Round 1 Offer Process ends date)
  • Round 2
    • Applications received by 31 May will be considered (Round 2 Application Close Date)
    • Offers made in the week commencing 7 June
    • Offer responses due by 21 June (Round 2 Offer Process ends date)

How EnrolNow Supports Allocation Rounds


EnrolNow includes an automatic tagging process to help manage eligibility:

  • If a child’s application date falls outside the current round’s date requirements, the child is tagged: “Exclude from current allocation round?”
  • Eligibility is checked daily and updated automatically.


Example

  • A child applies on 8 May.
  • If today’s date is on or before 21 May, the child will be marked “Exclude from current allocation round?” (they missed the Round 1 cut-off).
  • On 22 May, the child’s record updates to remove the exclusion, making them eligible for the next round.


Using this in Scoring Rules

You can use the “Exclude from current allocation round?” attribute to either:

    (a) Down-score the child, or

    (b) Exclude the child from the current round entirely

Updating Allocation Round Dates


Allocation round dates are managed in the Organisation Module:

  • Update the dates on the parent organisation only.
  • Child organisations can be left blank (they inherit from the parent).
  • Up to 4 allocation rounds are supported.
  • If you operate fewer than four rounds, leave the extra round date fields empty.
