Managing Allocation Rounds in the Allocation Engine

Overview


Many Central Registration Schemes as well as independent kindergartens process allocations and offers in rounds. These rounds typically have a application close date and then an offer ends date. For example: 


Round 1: Applications received by 30April will be considered. Offers will be made in the week commencing 7May and offer responses are due by 21May


Round 2: Applications received by 31May will be considered. Offers will be made in the week commencing 7June and offer responses are due by 21June


To support these rounds, EnrolNow has implemented a process which will automatically tag children as "Exclude from current allocation round?" if their application does not meet the current rounds date requirements. Children's eligibility for a round is checked on a daily basis and updated as required. 


For example: 

Child applied for kindergarten on 8May. If todays date is on/before 21May the child will be marked as "Exclude from current allocation round?". On 22May the child record will be updated to no longer be excluded. 


This child attribute can be used in Scoring Rules to either (a) down score a child or (b) exclude the child completely. 


To update Allocation Round dates


Allocation round dates should be updated in the Organisation Module. Only the parent organisation needs to be updated with relevant dates. All child organisations can be left blank. 



Up to 4 allocation rounds can be supported. Where less than 4 allocation rounds are in operation, simply leave the extra round dates empty.
