Internal: Remove SMS for a Customer

Before getting to stage of actually disabling SMS ensure you have advised Tania so she can check there is nothing we can do to convince them to keep SMS (assign the ticket to Tania). If not proceed as per below:

Instructions to remove SMS for a customer.

  1. Confirm date of removal with client and if they would like to maintain an export of their SMS History.
  2. In Shared Instance
    • remove from Add On Products - Rate Sheet, by unchecking. You maybe need to unassign from products module too
    • In EnrolNow User, remove from Products accessed field
  3. Data Export: Export the SMS Templates and SMS Histories from the CRM and save in the clients Customers folder on Google Drive, send a copy of the Histories to the client if required.
  4. After the export has been completed, remove the SMS plug in by going to Marketplace> Installed> Uninstall EnrolNow Burst SMS Extension.
  5. Modify permissions for the Send SMS and Send Bulk SMS buttons in the following modules: Children, Parent/Guardian, Authorised Nominees, Educators. These should set to Standard User only.
  6. Change permissions for SMS related Modules for all system users. System users should not have any access to SMS Templates or SMS Histories. Also be aware that Burst SMS Settings and Scheduled SMS Jobs may be present and should also have access removed for system users.
  7. Once the above steps have been completed, log in to Transmit SMS and delete the service account.
  8. Confirm with the client that their EnrolNow SMS has been deactivated.
  9. Confirm with Tania that SMS has been completely removed for the client by assigning the ticket to Group=Finance and Agent= Tania. Tania will remove from invoices and close the ticket

Important Notes:

  • Remaining balances of the client account are refunded back to the parent account (EnrolNow)
  • There is $50 USD refund fee which will apply to customers who wish to get a refund from Transmit - so avoid bringing this up if possible (unless they are holding a very large amount of money on their account)
