How to mark a child as enrolled and collect consent
To ensure a child is included in data shared with the NSW Department of Education, two things must happen:
- The child must be marked as enrolled
- The family must complete a form giving data sharing consent
Here’s how you can make sure both steps are completed correctly.
Step 1: Invite the family to complete the enrolment form
- You should send families an enrolment form using your existing EnrolNow process. This is usually achieved through a bulk email seny to all children who have been allocated a position for next year, using the "Next Year: Enrolment Form Email Template", which links to your services unique enrolment form

- When the family submits the enrolment form, the child’s status is automatically updated to Enrolled, with all enrolment data updated on the child record.
- A PDF of the submission will be attached to the child record
Step 2: Collect Data Sharing Consent
- To capture consent for data sharing, send the link to the standard NSW consent form using the Next Year – NSW Fee Relief 2025 / Child Consent Form template (or in the case of mid year enrolments the This Year - NSW Fee Relief / Child Consent Form template)
- When the family submits the form:
- The child’s Extra Forms Submitted field will update to reflect this
- The Share Data Consent field will be set to:
- “I agree” if the family gave consent
- “I do not agree, I understand this may impact funding and support made available for my child” if they did not
Only children who are Enrolled in the current year, with the Share Data Consent field set to “I agree” will be included in the data files sent to the Department.
