Sharing Information with the NSW Digital Hub (Overview)


What is the NSW Digital Hub?

The NSW Department of Education has introduced the Digital Hub a new centralised system for collecting data, reporting and administering program funding for early childhood education and care (ECEC) services in NSW.

How does EnrolNow help?

If your preschool uses EnrolNow and has agreed to share information, EnrolNow will prepare and send the required files to the department for you each week.

What gets shared?

There are seven types of information that may be shared:

  1. Service Details: Your preschool’s basic details, like your Service Approval Number (as stored in the Organisation module of EnrolNow)

  2. Software Details: Identifies that you're using EnrolNow, and which version.

  3. Service Operational Hours: Information about the operational days and hours your preschool is open. Refer here for more information about where this is sourced from and how you can ensure this is accurate
  4. Child Details: This file shares key information about children who are currently or recently enrolled and whose families have agreed to share data. Refer here for more information about what is included in this file and how you can update child details if required. 

  5. Disability Details: Only children included in the Child File and who have a disability type recorded. Refer here for more information about what is included in this file and how you can update child disability details if required.

  6. Enrolments: Details about a child’s enrolment, such as start dates and session details. Refer here for more information about where the enrolment details are sourced from and how you can ensure they are up to date. 

  7. Fee Details: Information about your preschool’s fees for each child and any subsidies or support provided. Refer here for more information about where the fee details are sourced from and how you can ensure they are up to date.

  8. Attendance records: Attendance data captured using EnrolNow’s sign-in/sign-out (SISO) tool. Refer here for more information.


Do families have to agree?


Yes. To receive funding and other support for early childhood education programs for a child, services' are required to disclose personal information and health information to the department. Sharing information about a services' enrolled children allows the department to ensure that funding is targeted towards children and families that need the most support.


To make sure a child is included in the data sent to the Digital Hub:

  • The child must have a submitted enrolment form
  • The “Data Sharing Consent” must be set to “I Agree”

What do I need to do? 

The vast majority of the data shared via the EnrolNow API to the Digital Hub will be based on information already contained within EnrolNow (collected during the enrolment process and through the Digital SISO process) 

If anything in a child’s record isn’t right, simply update it in EnrolNow before the end of the week. Each file is shared via the API on Saturday evening via the API.
