How to Preview an Email Template and Forms (Quick Check Method)

Before you send an email template to families, you can do a quick preview using a live child record. This allows you to check that the wording looks correct and the links open properly without needing to allocate a Test Child.


Use this method when you want to quickly confirm the email content and form link, but don’t need to check the full end-to-end process.


1) Open a relevant child profile

Go to the Children tab and open a child record that matches the type of email you want to test.

  • For a Program Preference email, choose a child who is already allocated to your service for the relevant year.
  • For an Enrolment Offer email, choose a child who is Allocated to a program for the relevant year.
  • For a Next Year email, choose a child who is Service Allocated for the upcoming year.
Tip: Think about the group of children you plan to send to — then pick one child who looks the same (status, allocation, or preferences).

2) Click “Send Email”

From the child profile, select the Send Email button.

In the email window, click Insert Template.

4) Select the template to test

Choose the email template you’d like to test (for example, Next Year: Enrolment Form Email Template).

5) Open the form link (without sending)

In the email preview, right-click the button (e.g. Complete Enrolment Form) and choose Open link in new tab. This lets you check the form and merge fields without sending the email.

Step 5 — Open the form link

Optional: If you’d like to see the full email in your own inbox, change the To field to your email address and click Send.
