Commonly used data fields or filter criteria

EnrolNow One has been specifically setup to organisations running sessional programs for children to have a central source of truth with regards to a child's enrolment or application.


Data fields against a child record are customisable, however there are some key components which remain pretty consistent from one organisation to another: 


Child Status (Upcoming / NY / Next Year OR Current / TY / This Year): the status of a child is relevant to a given "Care Period". The status reflects the journey that a child progresses through, usually from waitlisted to enrolled in a given Care Period.

Care Period: will differ depending on your organisation. For example, Kindergartens or Preschools tend to operate with annual care periods (2023, 2024, 2025 etc) whilst holiday programs tend to operate with Quarterly care periods (Term 1, Term 2 etc) 


Program Type (Upcoming or Current): any service preference/allocation must be applicable to a given Program Type. For example, in 2023 a given child might be enrolled for the Program Type of 3 Year Old Kindergarten. They may then also hold a waitlist for the 2023 Care Period for the Program Type of 4 Year Old Kindergarten. Any given Program Type may include multiple Programs. 


Allocation (Upcoming or Current): The allocation reflects a combination of the centre name and the program name. 


Service Preferences (centralised enrolments only): these represent for a given care period the families preference as of centre. Preferences contain a status of Waitlisted, Allocated or Not Required. Where a preference is "allocated" a corresponding Service Allocation will exist


Service Allocations: these represent for a given care period that a child is waitlist


Program Preferences: these represent for a given care period the families preference as of centre. Preferences contain a status of Waitlisted, Allocated or Not Required. Where a preference is "allocated" a corresponding Service Allocation will exist


Program Allocations: these represent for a given care period that a child is waitlist


Program: any program preference/allocation must be applicable to a given Program. Programs are always associated to a Program Type and have defined session times. eg. The Program Type 4 Year Old Kindergarten may have 2 Programs running being the Green Group (Monday and Tuesday) and the Red Group (Wednesday and Thursday)
