How to Identify Child Duplicates Within EnrolNow One With a Template Report

The following steps will support you with using an excel Template File to identify potential duplicate child records across EnrolNow, in order to correct and identify the record you would like to keep and mark the other record as Care no Longer required.


Instructions


Step 1: Open the Template File for Dupe Checks In Excel (attached to this support article)


Step 2: Create a new report in EnrolNow with the following settings (video instructions below)


     Create New report > Child Module

     

Name the report 'Duplicate Check' and add the following Columns in this order:

  • Child Name 
  • Last Name
  • First Name
  • Date of Birth 
  • Parent/Guardian 1 Name 
  • Email

    Add the following Filters

  • Child status Current period is: Select all relevant child status's except for Care no longer required.
  • and an 'OR'  additional Filter 
  • Child status Upcoming period is: Select all relevant child status's except for Care no longer required.
  • Save

Save the report into a folder of your choice and export the report, select 'Detailed Report' options and Excel file format


Step 3: Copy and paste the data into the Template File for Dupe Checks first tab. 


Step 4. Navigate to each of the three tabs at the bottom of the worksheet and right click on the (Multiple Items) box and click 'Refresh' 


Step 5. This will identify potential child record duplicates based on: 


Same Full name and DOB 

Same Name and Email 

Same first part of Child Name 


Step 6. Once you have identified the duplicate child records, search for and correct them in EnrolNow using the following article Duplicate Child Records
