Create a new program individually or in bulk

Before the allocation process commences each year, you'll need your programs in place for families to preference. Rather than building each one from scratch, in EnrolNow you can create new programs by cloning existing ones. This clone process carries across all the details from a comparable program so you only need to adjust what's changed.

You'll generally create programs in bulk once a year (cloning your whole current-year set into the following year), but you can also clone a single program when you need to add one mid year. 


Cloning your programs


To create programs, clone from existing programs for the same service and program type (e.g. 3YO or 4YO):

  • Go to the Programs module.
  • Using the list view options, make sure you're viewing the current year's programs.
  • Select all, or the multiple programs, you want to clone. To create a single program, select just one existing program similar to the one you want (same service and program type).
  • From the secondary menu bar, select Clone to Following Year or Clone to Same Year.


All selected programs are cloned to the same or following year, carrying across their names, program times, room details, capacities and fees. From there you can edit the details of each cloned program as needed.


Important Note: Cloned programs are not set to active automatically. A cloned program won't appear on your forms or map until you make it live — either by selecting Program Active?, or by setting a Program Activation Date for it to go live on a future date.



Editing your cloned programs

Once cloned, click Edit on each program record and update the details for the new period. A few essentials to check on every program:

  • Program Name — must be unique for that service, program type and care period.
  • Total Capacity — the maximum number of children you want allocated to the program.
  • Days of Week, Room, First Day at Service and the other program details — review and update so they're accurate for the new period.
  • Program Active? / Program Activation Date — set when you're ready for the program to go live.
