The most efficient mechanism to create programs is to do so in bulk each year.
Before the allocation process commences for each year, it is necessary to ensure that you have programs available for families to preference, and then to ensure allocations to those programs can occur.
The easiest way to create programs for next year is to clone all the programs from this year over to next year and then make any changes that may be required.
- Go to the Programs module
- Using the List view options, ensure you are viewing the current years programs
- Select all programs displayed for This Year
- Select the "Clone to Following Year" button from the secondary menu bar
All programs from this year will be cloned to next year with the same names, program times, capacities and fees. From here you can make any edits to program details as required.

If you are creating one new program there are two approaches available:
- Clone a similar program and make edits (recommended)
- Go to the Programs Module
- Select a similar program (same service, program type and care period as the new one being created)
- Click 'Clone to Same Year' or 'Clone to Following Year' on the top right
- Edit any details including the program name (it is important that the program name is unique from any other program operating at that same service in the given care period)
- Click Save
- Create a new program from scratch
- Go to the Programs Module
- Click Create Program
- Ensure all fields are completed with special care taken for
- Program Name: this must be unique from any other at the same service in the same care period
- Program Type: must be selected from the dropdown list
- Care Period: must be be selected from the dropdown list
- Click Save
