Creating Event Schedules in EnrolNow Bookings

An Event Schedule is an individual, bookable session within an Event Type. For example, if your Event Type is Orientation Booking, the Event Schedules might be “Monday 10 March, 9:00–10:00” or “Wednesday 12 March, 1:00–2:00”. The Event Schedule must also define the number of children who can be booked for this given event (capacity). 

Ways to create Event Schedules

  1. Create Event Schedule button: add a new Event Schedule one at a time.
  2. Clone Event Schedule button: in the list view, select one or many Event Schedules and clone them (useful for repeating sessions).
  3. CSV Upload: upload multiple Event Schedules at once from a CSV file for bulk creation.

Field glossary

Event Schedule Name: Internal name to help identify the session. Families will see the Event Type name, not this field.

Event Type: Choose the Event Type this schedule belongs to (e.g. Orientation, Tour).

Start Date/Time: The exact date and time the session begins.

Duration (mins): How long the session runs, in minutes.

Maximum Attendees: The capacity limit for the session. 

Holds: Optional. Place a hold on orientation places. 

Available Capacity: will be calculated as Maximum Attendees - Holds. Families will not be able to book beyond this number.

Calculated Attendee Number: Auto-calculated field showing the number of confirmed attendees. Updates as bookings are made or cancelled.

Organisation: The service this schedule belongs to, this should represent the location where the event will take place. 

Program: (Optional) Restrict this session so it is only visible to families allocated to a specific program. 

Educator: (Optional) Assign the staff member running the session (useful for reporting or rostering).

Connected To: Defines which records (e.g. Children) the session is linked to.

Archived: Tick to remove the Event Schedule from availability once it’s no longer in use.

Event Schedule Owner: Auto-set as the user who created the schedule. Can be reassigned if needed.

Best-practice tips

  • Use cloning for recurring sessions (e.g. weekly tours) to save setup time.
  • Link to a Program for orientations; leave blank for public-facing tours.
  • Archive old schedules instead of deleting, to maintain reporting history.
Bulk creation tip: Use CSV upload if you need to create a large number of Event Schedules at once (e.g. a whole year’s worth of tours).
