Under Department of Education policy, an eligible child may access one additional (repeat) year of funded kindergarten — either Three-Year-Old or Four-Year-Old Kindergarten — where their early childhood teacher has assessed and declared them eligible. A child can access only one additional year in total, so identifying and recording repeat children accurately matters both for your planning and for funding compliance.
For the full eligibility criteria and declaration process, see the Victorian Government's Additional year of funded kindergarten or Pre-Prep page.
EnrolNow records repeat-year status in two fields on the child record:
- TY - Repeat (this year) — the child is repeating a 3YO or 4YO funded year in the current care period.
- NY - Repeat (next year) — the child is repeating a 3YO or 4YO funded year in the upcoming care period.
These fields feed your Priority of Access calculation and flow through to the Arrival Multiple Child upload file, as well as enabling reporting.
How to record a repeat child
There are two ways to capture repeat-year status — choose whichever suits your service:
- Update the field directly — once you've confirmed a child has been approved for a second year, set the TY - Repeat or NY - Repeat field on the child's record. Many services prefer this, as they don't want a repeat question appearing on their forms.
- Collect it on a form — include a repeat-year question on your registration or enrolment form, and EnrolNow will update the correct field automatically (see below).
After a child has accessed a repeat year, the Previous Funding field on their record is automatically updated to reflect that the repeat year has been used.
Collecting repeat-year status on a form
If you choose to ask families directly, you can include a single repeat-year question on your registration form or enrolment form. When you do, EnrolNow will:
- Detect the child's program type (3YO or 4YO / Pre-Prep)
- Determine whether the repeat is for this year or next year
- Update the correct field (TY - Repeat or NY - Repeat) automatically
No extra configuration is needed beyond including the question.
Recommended wording on forms:
Second Year of Funded Kindergarten
Children enrolled in a funded kindergarten program are eligible to access a repeat year of funded 3 or 4 year old kindergarten, only if the early childhood teacher has assessed eligibility for your child to be considered for a second year.
Registration form Question
Is your child applying for a second year of funded {Program Type}? — Yes / No
Enrolment Form Question
Is this enrolment related to a second year of funded {Program Type}? — Yes / No
The program type (3YO or 4YO) populates automatically based on the program the family selected earlier in the form. On an enrolment form, adjust the opening line to "Is this enrolment related to a second year of funded {Program Type}?"
