Managing Second Year of Funded Kindergarten (repeats)

Repeat year data is managed in the Children module of EnrolNow using the following fields:

• TY - Repeat (This Year): Indicates if the child is repeating either a 3YO or 4YO funded year in the current care period

• NY - Repeat (Next Year): Indicates if the child is repeating either a 3YO or 4YO funded year in the upcoming care period

These fields support accurate planning and reporting aligned with Department of Education policy.

Services can choose how they wish to collect and manage this information:

• Include the question on their registration form

• Include the question on their enrolment form

• Or manage the TY/NY Repeat fields directly in the CRM when informed that a child will repeat

Data collected in these fields will be reflected as required in the Arrival Multiple Child upload files, and will also enable reporting for services. 

After a child has accessed a repeat year, the Previous Funding field on a child record will be automatically updated to reflect that the repeat year has already been accessed. 

Registration Forms Approach

You can include a single question on the registration form asking if the child is applying for a second year of funded kindergarten.

The EnrolNow system will:

• Detect the child’s program type (3YO or 4YO/Pre-Prep)

• Determine whether the repeat is for this year or next year

• Automatically update the correct CRM field (TY - Repeat or NY - Repeat)

• Identify whether the repeat is for 3YO or 4YO

No extra configuration is needed beyond including the repeat question.

Recommended Wording for the Repeat Year Question

Second Year of Funded Kindergarten
Children enrolled in a funded kindergarten program are eligible to access a repeat year of funded 3 or 4 year old kindergarten, only if the early childhood teacher has assessed eligibility for your child to be considered for a second year.

Note: The program type (3YO or 4YO) will automatically populate in the question based on the program the family selected earlier in the form.

Information for Services with a Downstream connection from an LGA running CRES

If your service receives child data downstream from a local government area (LGA) running a Central Registration and Enrolment System (CRES), information about whether a child is repeating (TY - Repeat or NY - Repeat) will be included in the downstream data if it has been collected and managed by the LGA.

You do not need to re-collect this information from families if it has already been supplied through the LGA’s registration process.
